1. Confirm inspection readiness

Inspecting too early can hide late-stage defects or create a misleading quantity picture. Confirm the production and packing status before attendance.

  • Finished quantity and remaining production
  • Goods available and accessible for sampling
  • Packaging stage agreed in advance
  • Factory contact and exact inspection address
02

2. Define acceptance criteria

Do not rely on a general request to check quality. Give the inspector objective documents and priorities.

  • Purchase order and approved specification
  • Critical dimensions and tolerances
  • Approved sample, colour or finish reference
  • Known defects and buyer-specific limits
03

3. Cover product and shipment risks

Build the checklist around the decision you need to make.

  • Workmanship and visible defects
  • Quantity, assortment and identification
  • Dimensions and basic function where agreed
  • Packaging, labels, shipping marks and protection
04

4. Agree the report and decision path

The report should separate observed facts from supplier statements and make exceptions easy to find.

  • Photo and measurement evidence
  • Sample size and finding summary
  • Open points requiring supplier action
  • Buyer review, hold or release responsibility
QUICK ANSWERS

Pre-shipment checklist questions.

Does a pre-shipment inspection check every unit?+

Usually no. It is typically a sampling activity unless a 100% inspection is specifically scoped. The sample method and acceptance criteria should be agreed in advance.

When should the inspection happen?+

It should take place when sufficient goods are finished and accessible, but before the buyer releases the shipment or final commercial approval.
